Worker Schedule

Band Hosting Procedures

All Workers Should Be Well Dressed:  You Represent Coe College and the Music Department

Director's Assistant

Be on hand to assist if needed. Be prepared to do a variety of jobs.

 

Load-in supervisor    

Supervise bus entrance and exit.  Keep bands on schedule, help with load-in, setup, etc., security for stored equipment.  Keep equipment queued in performance order.  Keep cages locked. Leave pathways for walking and for moving equipment. Make as much room as possible for storage. Assist in guiding performers to instrument storage and other parts of the building. 

 

Front Office

Keep track of which band directors have arrived, find out if they are coming to the Grand Finale Concert.  Assist band hosts, etc., with duplication, collecting and distributing forms, labeling tapes, and labeling and filing certificates. Keep tally of all score sheets collected, list of outstanding soloists, insert forms in directors' packets. General Information Center. Keep the room clean.

 

Band Host     

See Host Schedule, Hosting Procedure Sheet and keep bands and judges on schedule, help with load-in, setup, see to judges' needs - sharpen pencils, etc., make sure judges know to write comments and make tapes.  Make sure their tapes and sheets are for the band they are actually hearing.  PLEASE ASK THEM TO STEP OUT DURING EACH BAND’S WARMUP.  See to band director's needs (chairs, stands, electricity, etc.).  When director is ready, bring judges back in, make sure everyone is ready, and make sure the sound technician starts the CD recording before the band host announces the band. 

 

Room Monitor/Security

Check all facilities, including rest rooms. Don't let them play our pianos!  Make sure they treat room and equipment properly.  Help keep the room organized and bands in their own space.  Do NOT just sit there and do homework!

 

Ushers

Dress Nicely!  collect tix, hand out prog.  After concert - collect volunteer information, recycle programs, tear down lobby display.

 

Teardown crew

Return all band equipment to band room (don't forget the tuner in the green room!)

Set up band room for Sunday rehearsal

Put away shells, risers, etc.

Clean room 105 and set for classes

Organize room 203.  Stay until director declares job finished

 

Lobby doors/Lights/Decorations

Check that outer doors of Sinclair/Dows/D-K are closed and locked, turn off all lights in lobby, bathrooms, gallery entries, house, clean up lobby and return to original condition, turn out house lights, stage work lights

 

Thank yous (donors, bands, adjuds, etc.)
